ABOUT THE ORGANIZATION

The Metro Richmond Zoo’s mission is to protect animals through conservation and inspire guests by providing up-close, educational encounters with the wild. The zoo is situated on 150 acres of land and is home to over 2,000 animals representing 190 species from around the world. The zoo is accredited by the Zoological Association of America and is well-known for its conservation programs for cheetahs, African penguins, and Diana monkeys.

POSITION SUMMARY

The administrative coordinator provides essential administrative and operational support to the Guest Services, Maintenance, and Animal Care departments. This role ensures efficient office operations through supply management, invoice processing, record organization, and communication support. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced, constantly changing environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Order and maintain supplies for multiple zoo departments
  • Collect, process, and organize invoices and vendor statements
  • Receive, sort, and distribute incoming packages and mail
  • Organize and reconcile credit card statements and administrative records
  • Answer and direct incoming phone calls professionally
  • Communicate with vendors regarding orders, invoices, deliveries, and returns
  • Maintain organized digital and physical filing systems
  • Assist the management team with other responsibilities as needed
  • Support day-to-day office operations to ensure smooth workflow
  • Assist the zoo’s guest services team if needed
  • Other tasks as assigned

PHYSICAL REQUIREMENTS

Administrative coordinator must have the ability to:

  • Sit or stand for long periods of time
  • Move 35 lb objects
  • Work in an office with occasional movement through the zoo property in all weather conditions, from 0°F to over 100°F

QUALIFICATIONS

Administrative coordinator must:

  • Be at least 18 years old
  • Have a valid driver’s license
  • Be proficient in Microsoft Office and Google Workplace (docs, sheets, slides)
  • Have strong organizational and time-management skills
  • Have great attention to detail and accuracy
  • Be able to prioritize tasks and meet deadlines
  • Be able to communicate clearly in written and verbal forms
  • Previous administrative or office support experience and/or Bachelor’s degree (preferred)
  • Experience with invoicing, purchasing, or bookkeeping support (preferred)
  • Familiarity with inventory tracking or supply management (preferred)

HOURS

  • Full-time employment
  • 40 hours a week (Zoo does not offer overtime hours)
  • 5 days a week
